Event videography means filming a live event as it happens and editing it into a highlight film, full speaker recordings and short social versions. Rosa Park Visuals covers conferences, trade shows, panels, workshops, launches and community events across Toronto and the GTA.
Event footage cannot be reshot, so the preparation matters more than the equipment. Audio source, run of show, camera positions and lighting are agreed before the day.

What to agree before the day
These six things decide whether footage is usable. There is a fuller version in the event videography checklist, which is written for organizers to work through four weeks, two weeks and one week out.
- Coverage time
- Booked by the hour or by the day. A half day suits a single panel or a launch. A full day suits a conference with multiple sessions. Multi-day shows are quoted per day and the highlight film draws from all of it.
- Audio capture
- Speaker audio comes from the venue sound desk wherever there is one, with a backup recorder running. Where there is no desk, a wireless microphone goes on the speaker. Room tone and ambience are recorded separately for the edit.
- Multiple cameras
- Panels, keynotes and anything you plan to publish in full are filmed on two or more cameras so the edit can cut between a wide and a close angle. Roaming show-floor coverage is filmed on one camera on purpose, because it moves better.
- Delivery timelines
- A short social cut can be delivered within 48 hours when it is booked in advance. The full highlight film usually follows within one to two weeks, with the session recordings alongside it.
- Social versions
- Vertical cutdowns with burned-in captions, sized for Instagram, TikTok and LinkedIn. Planning them before the event is what makes them good rather than trimmed.
- Event photography
- Available alongside video for smaller events where one person can reasonably cover both. For a busy conference, book photography as a separate role so neither job is compromised.

Programme and quote
Coverage is booked around the programme, not the venue booking. The hours that matter are the keynote, the panel and the busiest floor hour.

Technical planning
Sound desk feed confirmed with the AV supplier, camera positions agreed with the venue, power and setup access arranged.

On the day
Room tone and the empty room first, then arrivals, sessions, reactions and short interviews taken during the break rather than at the end.

Fast then full
A social cut within 48 hours where booked, then the highlight film in one to two weeks, then the full session recordings.

Cost
What determines the cost
Event coverage is quoted from the programme rather than from a price list, because the same venue can be a three hour job or a three day one. These are the factors that move it.
- How many hours or days of coverage the programme actually needs.
- How many cameras. Sessions you plan to publish in full need at least two.
- Whether there is a sound desk to take a feed from, or speakers need to be miked individually.
- How many finished pieces you want: a highlight film alone, or a film plus session recordings plus social cuts.
- How fast the first deliverable has to arrive. A 48 hour social cut has to be scheduled in advance.
